CGD is currently seeking a dynamic, organized, and detail-oriented administrative and research professional to support the President. The Executive Assistant will perform administrative duties to ensure the President can effectively meet the organization's programmatic and strategic goals. The incumbent must be able to exercise discretion, good judgment, and significant initiative, while operating with little supervision. To be successful, the Executive Assistant must have a clearly defined sense of what needs to be done without waiting for direction. The ideal candidate will be energetic, proactive, and able to creatively problem-solve, while demonstrating excellent communication and interpersonal skills.
This position works at the highest levels of the organization, interfacing regularly with both internal and external constituencies on a broad variety of confidential and complex issues.
Essential functions:
Providing confidential and high level administrative support to the President, including:

Managing and maintaining President’s busy professional and personal calendar
- Facilitating the President’s accessibility and open lines of communication with staff
- Scheduling meetings, telephone conference and appointments for the President.
- Managing the President’s communications with friends of CGD and other VIPs
- Answering, screening and directing all incoming calls, visitors, and correspondence.
- Manage call back list
- Read and route all incoming mail and email for the President.
- Prepare email and other correspondence for the President as needed.
- Draft the President’s notes (written and verbal) into professional correspondence or telephone communications.

Manage various in-house meeting processes and agendas.
- Attend management meetings, coordinate agendas, take notes and ensure timely and appropriate follow up.
- Coordinating and communicating with President’s co-authors on materials during publication process
- Maintaining and updating manuscript files
- Providing ad hoc research support to the President
- Prepare travel arrangements (domestic and international). Creates detailed itineraries and instructions to manage logistics, secures travel visas and manages travel expenses and reimbursements.
- Gather, summarize and prioritize information needed by the President in order to make decisions and respond to requests.
- Perform other duties as assigned
Qualifications
- Bachelor’s degree and two or more years of senior administrative experience. Additional experience may be substituted for education requirements.
- Poise, confidence and meticulous organizational skills
- High-level proficiency in Microsoft Office, especially Outlook and Word
- Professional, positive attitude with an ability to exhibit discretion and confidentiality
- Outstanding commitment and sense of dedication
- Superb interpersonal, written and verbal communication skills including grammar, editing and proofreading
- Proven ability to successfully manage multiple and changing priorities in a fast-paced, dynamic environment while exercising good judgement
- An interest in development and geographical knowledge of developing country settings
- An innovative spirit, a way with people, a calm-under-pressure, and flexible approach when things move quickly
